Going Cashless Workgroup

Conduct a comprehensive evaluation of current cash handling practices across the university and develop a strategic plan to transition toward a predominantly cashless operational model. This initiative aims to enhance financial efficiency, reduce risk, improve customer service, and align with evolving technological and security standards.

Goals of the Workgroup

  1. Assess Current Cash Operations
    • Inventory all university units that handle cash transactions.

    • Evaluate existing cash handling procedures, staffing, equipment, courier services, and security measures. Identify pain points, inefficiencies, and risks associated with current practices.
  2. Benchmark Best Practices
    • Research peer institutions and industry standards for cashless operations.
    • Identify successful models and technologies that support cashless environments.
  3. Evaluate Financial and Operational Impact
    • Analyze the cost-benefit of transitioning to cashless operations.
    • Assess implications for students, faculty, staff, and external stakeholders.
    • Consider accessibility issues, including support for unbanked populations.
    • What will be considered exceptions to allowing receipt of cash.
  4. Develop a Transition Plan
    • Recommend a phased approach for reducing and ultimately eliminating cash transactions.
    • Propose necessary policy changes, technology investments, and training programs.
    • Establish metrics for success and a timeline for implementation.
    • Facilitate input from key campus units.
    • Communicate transparently with the university community throughout the process.
    • Align recommendations with applicable laws, regulations, and university policies.
